ICHS 24th BIENNIAL symposium

IMPORTANT SUBMISSION DATES and GUIDELINES

To ensure a smooth planning and accreditation process, please review and adhere to the following deadlines:

January 5, 2026
Disclosure Form and a general description of your presentation must be submitted.

February 15, 2026
Final hotel arrangements are due. Please note that any requested changes after this date will be accommodated based on availability.

March 9, 2026
A draft version of your presentation is required for Accreditation/CME review.

Please complete the designated JotForm to upload your presentation or to indicate how it will be submitted.

Once your presentation has been approved for CME credit, no substantive content changes may be made without additional review and approval by the CME accreditation provider. Minor edits, such as spelling corrections or the addition of references, do not require re-review. If substantive changes are necessary, you must notify the ICHS office and resubmit your updated presentation.

Presentation Timing & Session Structure

Presentation time is allocated based on the number of speakers participating in the session:

  • If you are the sole presenter, your content should fill the allotted session time, while allowing time for audience questions.

  • If you are one of multiple speakers (two, three, or four presenters), please plan your remarks to fit within your assigned portion of the session time, also allowing for questions.

Each session will include a moderator to assist with time management and facilitate discussion.

Disclosure Requirements

All presentations must include a Disclosure slide.

  • List all relevant financial disclosures.

  • If there are no disclosures, clearly state: “No disclosures.”

  • Disclosures must include any co-authors who contributed to the content, even if they are not attending or presenting.

Presentation Design & Formatting Guidelines

While there is no requirement to use the official template, a sample ICHS PowerPoint template is available for your convenience. Speakers are welcome to use it if desired.

Formatting Requirements

  • Use at least 24-point font for body text.

  • Use at least 36-point font for headings and titles.

  • Adjust font size appropriately based on text volume, font type, and screen resolution.

  • Ensure slides are compatible across systems and review using PowerPoint’s compatibility features.

Slide Design Best Practices

  • Keep slides clean and uncluttered.

  • Avoid placing excessive data, complex graphs, or dense experimental information on a single slide.

  • Use high-quality images only.

  • Images must be royalty-free or properly cited.

  • Use color sparingly and intentionally.

File Specifications

  • Accepted formats: .ppt or .pptx only

  • Maximum file size: 500 MB

  • Required aspect ratio: 16:9

  • Do not use special characters in the file name (e.g., «, Ö, Ø, ñ, ε, ®, ý, }, {, etc.) to avoid compatibility issues.

Duration & Slide Count Guidance

Please prepare your presentation according to your assigned time.

As a general guideline, plan for approximately 2–2.5 slides per minute to ensure you do not exceed your allotted time.

A/V Equipment Available

The following equipment will be provided in meeting rooms:

  • Podium

  • Podium microphone and/or table microphones (for panel presentations)

  • Screen

  • LCD projector

  • Laptop pre-loaded with your presentation

If you require additional equipment, please indicate this in the Speaker Agreement Form.

If you are presenting from a Mac computer, you must bring your own laptop and the necessary connector, and indicate this on the agreement form.

We will make every effort to accommodate all requests when advance notice is provided.
